Privacy in plain language
We ask only for information that helps us respond to you, administer a relationship, protect people, and operate this website. We do not ask for online-banking passwords, card PINs, one-time security codes, or full payment-card details through our enquiry forms.
1. Information we may collect
The information available to us depends on how you interact with the foundation.
Information you provide
- Name, email address, telephone number, and preferred contact method.
- Information included in general enquiries, partnership discussions, volunteering enquiries, donation quote requests, or messages about our programs.
- An estimated donation amount or area of giving interest when you use the donation enquiry form. Submitting that form does not make a payment.
- Details necessary to respond to a complaint, safeguarding concern, fraud concern, privacy request, or accessibility report.
- Professional or organizational information supplied during partnership or due-diligence discussions.
Information generated through website use
Our hosting platform, WordPress, and security systems may process technical records such as IP address, browser type, device information, requested pages, dates and times, referral information, and security events. These records help deliver the site, diagnose faults, and prevent misuse.
Sensitive information
Please do not send sensitive personal information unless it is genuinely necessary. Safeguarding reports may unavoidably contain information about health, safety, alleged conduct, or a child. Such information should be limited to essential facts and handled through the confidential reporting route.
2. How we use personal information
- Respond to enquiries and provide requested information.
- Manage donation discussions, acknowledgements, restrictions, and donor communications.
- Assess volunteer, partnership, program, or community-engagement enquiries.
- Receive, assess, document, and escalate safeguarding or conduct concerns.
- Maintain appropriate administrative, security, and communication records.
- Protect the website, investigate misuse, and troubleshoot technical problems.
- Meet applicable legal obligations and respond to lawful requests.
- Improve our communications, processes, and accessibility using proportionate, non-misleading information.
We do not sell personal information. We do not use a safeguarding disclosure for fundraising or publicity.
3. Reasons for processing
Depending on the circumstances and applicable law, processing may be necessary to respond to your request or take steps you requested; based on your consent; necessary for legitimate administrative, charitable, security, or safeguarding interests; or required to meet a legal obligation. Where consent is the relevant basis, you may withdraw it for future processing.
4. When information may be shared
Access is limited to people who need the information for an appropriate purpose. This may include authorized foundation representatives, website hosting and email providers, professional advisers, program or service partners acting under suitable expectations, and competent authorities where safety or law requires referral.
We do not promise absolute confidentiality when someone may be at risk, a serious offence may have occurred, or disclosure is legally required. We aim to share no more than is reasonably necessary.
5. How long information is kept
We keep information only for as long as reasonably needed for the purpose collected, related follow-up, safety, accountability, dispute handling, or applicable legal and financial requirements. Retention periods can differ: an unanswered general enquiry should not require the same retention as a donation record, partnership agreement, or safeguarding case.
When information is no longer required, it should be securely deleted, anonymized, or retained only where a continuing obligation or defensible need applies.
6. Security
We use proportionate organizational and technical measures intended to reduce unauthorized access, loss, misuse, or alteration. No internet or email system can be guaranteed completely secure. Do not send passwords, payment credentials, or unnecessary identity documents by email. If you suspect a message claiming to come from us is fraudulent, verify it using the contact details published on this site.
7. Your choices and rights
Depending on where you live and which law applies, you may be able to request access, correction, deletion, restriction, objection, portability, or withdrawal of consent. You may also complain to an appropriate data-protection authority. These rights may have limits—for example, where records must be retained for safety, legal claims, or financial accountability.
To make a request, email us with the subject Privacy request. We may ask for proportionate information to confirm identity and locate the relevant records, but we will not ask for your account password.
8. Children’s information
Children require additional protection. This website is directed to a general audience and is not designed for children to submit personal information independently. A parent, caregiver, responsible adult, or appropriately authorized professional should use the contact routes where possible. Information and images involving children should be collected and shared only with appropriate authority, meaningful participation, dignity, and safeguarding risk in mind.
9. International access and service providers
Web hosting, email, partners, or authorized representatives may operate in more than one country. Where information is accessed or processed internationally, we aim to consider the sensitivity of the information, the purpose of access, appropriate safeguards, and whether the transfer is necessary.
10. Third-party websites and policy changes
Links to external websites do not make us responsible for their privacy practices. Review their notices before providing information. We may update this policy when our services, tools, or obligations change. The date above identifies the current published version; material changes should be communicated appropriately.
